Here is everything your agency needs to set up in CAD before your dispatchers start using it on real calls. Each step builds on the one before it — work through them in order.

    Set your time zone

    • Open Settings from the user menu.
    • Under the General section, pick your agency's operational time zone and save.
    • Do this before anything else — every date and time in CAD depends on it.

    Customize your Incident Fields

    • Under Settings → Incident Fields, go through all four fields: Dispatch Reason, Type of Service Requested, Response Mode to Scene, and Level of Care Provided per Protocol.
    • Hide the options your agency never uses.
    • Favorite up to three per field — these become one-click quick picks at the top of each dropdown.

    Confirm your vehicles, locations, and facilities are synced

    • Open Settings → Vehicles and confirm every vehicle your agency runs is listed. If not, add them in Fleet Management first.
    • Open Settings → Locations and confirm your stations and posts are listed. If not, add them in CloudPCR first.
    • Open Settings → Facilities and confirm the hospitals, nursing homes, and clinics you transport to are listed. If not, add them in CloudPCR first.

    Build your unit templates

    • From the Units page, create one template for each unit you run.
    • For each, set the call sign, default vehicle, default level of care, default location, and default crew.
    • If you run Medic 1, Medic 2, CCT 1, and a wheelchair van, you should end up with four templates.

    Set up your recurring schedules

    • If your agency has standing transports (dialysis runs, regular transfers), create a recurring schedule for each patient.
    • Start an incident, check Repeat this transport on the Patient & Transport tab, set the frequency, days, and pickup time, and save.
    • CAD will generate the next 60 days of trips automatically and keep that window rolling forward every night.

    Train your dispatchers

    • Have every dispatcher watch the CAD Training video (linked above) end to end.
    • Have them each practice activating a unit, creating an incident, and dispatching it.
    • Make sure they know how to reach the Map, Calendar, and Recurring pages from the navigation — see Finding your way around.
