Here is everything your agency needs to set up before your team starts using Fleet Management for real.

What to do after setup

Once the checklist is complete, have your team sign in and submit a practice service request and a practice accident report. Walking through each end to end is the fastest way to find anything you missed and to make sure every admin knows where every action lives.

    Set your timezone

    • From the user menu, click Settings → Manage preferences.
    • Pick your agency's timezone and click Save.

    Create your qualifications list

    • Go to Settings → Manage qualifications.
    • Add the positions and certifications your agency recognizes — EMT, Paramedic, RN, Mechanic, and so on.

    Make sure every user has an SSO account

    • User accounts are managed in Unified Solutions SSO, not in Fleet Management.
    • Before go-live, make sure every person who will use Fleet Management has been added in SSO and has access to your agency.
    • Once a user exists in SSO, they can sign in to Fleet Management immediately — no per-app user setup is required.

    Add your vehicles

    • From the navigation, click Vehicles → Add Vehicle.
    • For each vehicle, fill in unit number, VIN, vehicle type, fuel type, and the service and compliance dates (registration, inspection, insurance, next service due).
    • Take the time to fill these in correctly — the due-date filters on the Vehicles page and the Unscheduled Vehicles sidebar on the service calendar rely on them.

    Test a service request end to end

    • Have a user submit a test service request from the dashboard.
    • As an admin, open the Service Tracker, schedule the appointment from the Request Queue, and walk it through Start → Complete on the calendar.

    Test an accident report end to end

    • Have a user submit a test accident report from the dashboard with a photo.
    • As an admin, open Accident Management, update the investigation, upload an invoice, and schedule repairs.
