The Vehicles page is the master list of every vehicle in your agency's fleet. This is where you add a new vehicle when it comes into service, edit the record when something changes, and see when a vehicle's registration or inspection is about to expire.

Open the page

From the navigation, click Vehicles. This item is only visible to users with an Admin role.

Add a vehicle

  1. Click Add Vehicle.
  2. The Add Fleet Vehicle modal opens.
  3. Fill in the fields (see below).
  4. Click Submit.

Vehicle Overview fields

  • Unit Number (required) — your agency's name for the unit (for example, Medic 1).
  • Service Status (required, defaults to In Service) — In Service, Out of Service, Reserve, or Retired.
  • Vehicle Type (required).
  • Fuel Type (required, defaults to Diesel).
  • Chassis Manufacturer (required) — the chassis maker (Ford, Freightliner, etc.).
  • Body Builder — the coach builder or upfitter (Horton, Pierce, Braun, Demers).
  • Model, Model Year, VIN, License Plate, Color.
  • Current Mileage.

Service & Compliance fields

Expand the Service & Compliance section to fill in:

  • Placed In Service — when the vehicle started running for your agency.
  • Last Service, Next Service Due, Service Interval (mi).
  • Registration Expires, Inspection Expires, Insurance Expires.

These dates drive the table filters at the top of the Vehicles page — Registration Due Soon, Inspection Due Soon, and Any Expired — so the fleet manager can spot what is coming up at a glance.

Assignments & Notes fields

Expand Assignments & Notes to record:

  • Assigned Station / Precinct.
  • Primary Unit / Shift.
  • Status Notes — short note on the current status (for example, "Out with transmission issue").
  • General Notes — anything else you want on the record.

Row actions

Each row has an Actions dropdown:

  • View Service Log — opens a modal showing every service appointment this vehicle has had.
  • Edit — opens the vehicle modal to update any field. Click Save changes to save.
  • Update Mileage — a quick way to bump the current mileage without opening the full edit modal. See Updating mileage and service.
  • Update Service — a quick way to update Last Service, Next Service Due, and Service Interval.
  • Delete — removes the vehicle. Use with care — service and accident history stays tied to this record.

Filters

Above the table, use the filters to narrow the list:

  • Service Status.
  • Vehicle Type — multi-select.
  • Fuel Type.
  • Registration Due Soon, Inspection Due Soon, Any Expired.
Tip: At the start of each month, turn on the Any Expired filter. Anything that shows up needs to be dealt with before the vehicle rolls again.
