When the billing team cannot bill a call, they return the chart with a question. Those charts collect on the Billing page, and it is an administrator's job to get each one answered and sent back.

Before you start: The Billing page needs either the Admin or the Billing role in CloudPCR. If you do not see Billing in the menu, ask an administrator at your agency to set your role, as described in Setting someone's role for one application.

Seeing what is waiting

The Billing item in the menu shows a count of charts waiting on an answer. Click it to open the list, then click the actions button on a row and choose Billing Review to open a chart.

Answering it yourself

On the Billing Review page, each question from billing appears under Billing Flags. If you can answer it without involving anyone else, type your answer in the box, click Save response, and then click Resubmit to Billing. Every question on the chart has to be answered before it can go back.

Passing it to the crew

Most questions about what happened on a call are better answered by the crew who ran it. Under Ask the crew, pick the person, add a note if it helps, and click Send. You can choose the person who wrote the chart or anyone recorded on the crew for that call.

They see it on their My PCRs page and get a notification. When they answer, you get a notification back, and their reply appears on the chart under Crew replied.

Sent it to the wrong person, or heard nothing back? Pick someone else under Ask someone else and send it again. Only the newest person you sent it to has it.

Sending the answer to billing

  1. Read the crew member's reply and click Use this answer. Their wording drops into the answer box.
  2. Edit it if it needs it. The billing team reads this, so make sure it answers what they asked.
  3. Click Save response.
  4. Once every question on the chart is answered, click Resubmit to Billing.

The chart goes back to the billing team, who pick it up from there.

Charts that should not be billed at all

If a chart is with billing and should not be, click Withdraw from Billing on the Billing Review page. That pulls it back out rather than answering the question.

Example

Your Billing menu shows 12. You open the oldest chart and the question reads "Medical necessity / narrative: no narrative on the chart." That is not something you can answer from the office, so under Ask the crew you pick the medic who ran the call, add "Can you write up why she needed transport?", and click Send. Two days later you get a notification, open the chart, read their addendum, click Use this answer, tidy one sentence, click Save response, and then Resubmit to Billing.
