What SOP references are

SOP stands for standard operating procedure. An SOP reference is a titled, categorized link to a document (PDF, Word, or web URL) that explains the correct way to handle a recurring billing issue — prior authorization, missing demographics, rebill triggers, and so on. Billing stores the SOP library per agency so you have a central source of truth during audits and onboarding.

Where to find it

  1. Go to Settings → Agencies and click View on the agency.
  2. Open the Quality Audit tab and scroll to the SOP References panel.

Adding an SOP reference

  1. Click New SOP.
  2. Enter a Title (for example "Prior Authorization Procedure") and an optional Description.
  3. Enter a Category — text like "Clinical," "Compliance," or "Coding" so you can group related SOPs.
  4. Pick a Document Type: PDF, Word Document, or Web URL.
  5. Paste the Document URL that points to the hosted document.
  6. Leave Active on and save.

Editing or retiring an SOP

Use the row actions on the SOP References panel to edit, delete, or toggle Active on an SOP. Turning Active off hides it from casual views without losing the history.

Example

Your prior authorization process changes. Open the agency's Quality Audit tab, find your "Prior Authorization Procedure" SOP, click edit, point Document URL at the updated Google Doc, and save. Your billing team always gets the latest version from the central link.

Tips

  • Write SOPs in plain language. The person reading them may be brand new to billing.
  • Keep SOPs up to date. If your process changes, update the link so nobody follows outdated instructions.
