What a patient statement is

A patient statement is a record that tells the patient how much they owe. It includes the account number, the services provided, what insurance paid, and the remaining balance.
Opening the Patient Statements page
Click Imports/Exports in the menu, then click the Patient Statements sub-tab.
Generating a batch
- Click Generate Statements.
- Pick an agency.
- Click Generate.
The app creates a statement for every eligible claim in that agency — one with a patient balance greater than zero that has not yet hit the agency's statement cap. New statements show up in the list with a status of Queued.
Columns in the list
- Stmt # — the statement sequence (first, second, third, etc.).
- Statement Date — when the statement was generated.
- Account # — the account number printed on the statement.
- Patient, Claim, and Balance Due.
- Status — Queued until you download it, then Downloaded.
Preview and download
Each row has a Preview action that opens the rendered statement in a modal and a Download action that saves a text file with the statement content. Use Download Selected in the bulk action menu to grab many at once. Downloading marks the statements as Downloaded.
Example
A patient calls and says they lost their bill. You open Patient Statements, filter by Agency and switch the Download Status filter to All, find the most recent row for that patient (Stmt # 2, Balance $350), click Preview to confirm the contents, then Download to save the file so you can mail or email it.
Tips
- Check the Stmt # column to see how many statements have already been sent. A higher number means the patient is further along in the collection process.
- When a patient calls about a statement, ask for the account number printed on it — that is the fastest way to find their record.
