What stages are
Collection accounts move through a series of stages. Each stage is a step in the follow-up process: Statement 1, Statement 2, Final Notice, Pre-Collections, Collections, Bad Debt, Charity Care, and Closed.
How to advance a stage
- Click Collections in the menu.
- Find the account in the list. The Stage column shows where the account is today.
- Click Advance in the Actions column.
- Confirm the prompt that asks "Advance to next collection stage?"
The account moves to the next stage and the grid refreshes. The Advance button is only visible while the account is in Statement 1, Statement 2, Final Notice, or Pre-Collections — after that, the stage has to change through a different action.
Example
An account is in Statement 1. You sent the first statement two weeks ago and have not heard back. You click Advance on the row and confirm. The account moves to Statement 2 and shows up on the Due for Statement tab when the next statement date arrives.
Tips
- Do not advance an account until you have completed the action for the current stage (like sending the statement or making the call).
- If you want to capture a note about what happened, add it to the claim or the AR Log before you advance — the Advance button itself does not take a note.
