What this section is for

The Attachments section holds supporting documents for a claim. Some insurance companies require additional paperwork before they will pay, and having everything in one place makes it easier to respond to requests. The section also lists any files that came in from CloudPCR as NEMSIS attachments. Attachments stay with the claim in Billing as your record; when a payer asks for documentation, you send it to them the way they request it and keep the copy here.

Common attachments

  • Signed patient care reports
  • Physician certification statements (required for some non-emergency transports)
  • Prior authorization letters
  • Accident reports
  • Medical records from the receiving facility

Uploading a document

  1. In the Attachments section, click the Upload Attachment button.
  2. A modal opens. Click the drop zone to pick a file, or drag and drop a file onto it. Maximum file size is 20 MB.
  3. Click Upload.
  4. The file uploads and appears in the attachment list.

Viewing an attachment

Click an attachment to open it in the viewer. From there you can:

  • Rotate Left and Rotate Right to straighten a scan that came in sideways. Reset puts it back the way it was.
  • Print to print the document.
  • Download to save a copy.
  • Open in new window to keep the document up while you work the claim.

A rotation you set is remembered, so the next person who opens that scan sees it the right way up.

Click Delete to remove a file you uploaded by mistake.

What downloaded files are called

Downloads are named after the claim they belong to, not whatever the source called the file. A claim numbered 2026-00016 with two attachments downloads as 2026-00016-1.pdf and 2026-00016-2.jpg.

The number after the dash is the attachment's position on the claim, counted in the order they were added, so it stays the same for a given file. This matters when you download several at once: the names tell you which trip each one belongs to without opening them.

Tips

  • Rotate a sideways scan once and it stays that way for everyone, so the next person does not have to tilt their head.
  • Upload supporting documents as you work the claim so everything is in one place when a payer asks for it.
  • If an insurance company requests additional documentation after you submit the claim, upload a copy here so you have a record of what you sent.
