How it works

Once you begin a checkout, Drug Tracking shows each location with the items that should be there, split into Needs attention (items the system flags for you) and the full item list. A search field at the top lets you jump to a drug by name or SKU, and a Show needs-attention items only toggle hides everything else.

Verifying items

Go through your physical drug box compartment by compartment. If every item matches the expected count, tick Inventory matches expected at the top of that location's card and move on. If something does not match, open that item and report the discrepancy.

Discrepancy types

Opening an item shows a sheet with three options:

  • Short — you have less than expected. Enter the quantity difference (how many are missing).
  • Over — you have more than expected. Enter the quantity difference (how many are extra).
  • Clear — removes any discrepancy flag on the item.

For drugs tracked by dose (such as a partial vial), a second Dose difference field lets you record the dose units separately from the number of containers. A Flag for replacement checkbox lets you mark the item as needing to be swapped next shift, whether the count was short, over, or neither.

Example

You open the Narcotics compartment of Medic 12. The template says:

  • Fentanyl 100 mcg — expected: 2
  • Midazolam 5 mg — expected: 2
  • Morphine 10 mg — expected: 2

You count 2 Fentanyl (good), 1 Midazolam (short), and 2 Morphine but one expires tomorrow. You leave Fentanyl alone, flag Midazolam as Short with a quantity difference of 1, and open the Morphine item to tick Flag for replacement so it gets swapped out.

Tip

Work through the compartments in order from top to bottom. The Show needs-attention items only toggle is handy on a second pass to make sure nothing flagged is still unresolved.
