What this report shows

The expiry exposure report lists every drug item in your inventory that will expire within a given timeframe. It helps you plan ahead so you can replace expiring stock before it becomes a problem during a checkout.

How to access it

Go to Reporting from the menu and select Expiry Exposure. This section is only available to admins.

Timeframe

The report shows every lot that expires within the next 120 days. The Days Remaining column is color-coded so urgent items stand out — red at 30 days or fewer, amber between 31 and 60 days, and plain text beyond that.

What each entry includes

For each expiring lot, the report shows:

  • The item name
  • The lot number
  • The expiry date
  • The days remaining until expiry
  • The on-hand quantity

Example

You open the expiry exposure report on April 1. The rows highlighted in red are the ones that need attention now — you see 2 vials of Midazolam expiring April 12 and 3 vials of Morphine expiring April 22. The amber rows further down give you a heads-up for the next 60 days so you can plan ahead.

Tip

Check the report at the start of each month. Watching the amber rows gives you enough lead time to order replacements before anything hits the red 30-day window.
