The time-off calendar gives you a visual overview of who has time off and when. Instead of reading a table of dates, you see blocks on a calendar that show coverage gaps at a glance.

Getting there

Go to Time Off in the navigation. The Calendar tab is the default view; List View is next to it.

What it shows

Each time-off request appears as a block showing the employee's name across the requested window. The calendar shows only pending and approved requests. Approved blocks are green; pending blocks are orange.

How to use it

  • Look at the calendar before building the weekly schedule. If three people already have approved vacation that week, you know you need to find coverage.
  • When a new request comes in, check the calendar to see who else is off on those dates. If too many people overlap, you may need to deny the request.
  • Use the calendar during shift planning to make sure you are not scheduling someone on a day they have approved time off.

Example

You open the Time Off calendar for July and see two green blocks for paramedics the first week and one orange block for a firefighter the second week. You know the first week is going to be tight on staffing and you should start looking for coverage now. For the second week, you open the pending request from List View and decide whether to approve it.
