When an open shift needs to be filled, the Availability action on the shift shows you who is free during that exact window. Instead of calling around or checking each person's schedule one by one, you open the shift and see a list of available employees.
How to use it
- Open Admin Scheduling and find the shift on the calendar.
- Open the day detail for that shift. On an unassigned shift you will see an Availability action.
- Click it to open the Available employees modal.
What the results show
The list shows each employee who is marked available during the shift window. Each row shows the employee name and whether they are available all day or for a specific time range.
Assigning from the results
When you find the right person, click the Assign button on their row. The system confirms the assignment and creates the shift record. If the employee is already assigned to this shift, the button shows Assigned.
Example
Someone calls in sick for Saturday's 12-hour day shift. You open Admin Scheduling, find Saturday's shift, and click Availability. The modal lists employees who have marked themselves available that day. You pick one with the right qualifications and click Assign. The shift is filled and the employee is notified.
Tip
Encourage your crew to mark their availability in My Schedule. The Availability action only surfaces employees who have told the system they can work -- it is not a list of everyone who is simply not scheduled.
