Sometimes you cannot run a transport at all. The level of service is one your agency does not offer, the geography is outside your area, or you are simply booked solid that day with no flexibility. In those cases, click Decline on the request card.

The decline form

A small form opens with an optional Reason field. You do not have to fill it in, but a short, clear reason helps the facility plan. Something like:

  • "We do not run critical care transport."
  • "We are fully booked for that day with no flexibility."
  • "That destination is outside our service area."

Click Decline.

What happens after you decline

  1. The request moves into your Declined tab.
  2. The facility is notified that the request was declined, along with any reason you provided, in their transport portal.

Decline early, decline clearly

A clear decline now is much better for the facility than a slow response. It lets them keep planning their patient's transport without waiting on you. If you can run the transport at a different time, use counter-offer instead — that almost always solves the problem without anyone having to file a new request.
