Inspections are formal checks of a hydrant's condition. You record them from the hydrant's detail page under the Inspections tab.

Step by step

  1. Open the hydrant's detail page.
  2. Click the Inspections tab.
  3. Click Add Inspection above the table.
  4. Fill in the form as described below.
  5. Click Submit.

Schedule and personnel

  • Scheduled Date -- The date the inspection was supposed to happen. Defaults to today.
  • Completed Date -- The date the inspection was actually performed. Leave blank if the inspection has not happened yet (for example, if you are scheduling it in advance).
  • Inspector -- The person who performed or will perform the inspection. Defaults to you.

Assessment

  • Result -- Choose Pass, Fail, or Pending. Use Pending when you are scheduling the inspection ahead of time and have not performed it yet.
  • Follow-up Required -- Turn this on if the hydrant needs additional work after the inspection. This makes it easy to filter for hydrants that still need attention.
  • Notes -- Record observations, such as "all caps present, bonnet bolt missing, operating nut turns with moderate effort."

Deficiencies

If the hydrant has problems, add each one as a separate deficiency item. Click Add Deficiency and type a short description of the problem. You can add as many deficiency items as needed.

Example deficiencies

  • "Cap chain broken on south port"
  • "Body paint peeling, rust visible"
  • "Weeds and debris around base, obstructing access"
  • "Reflector missing"

Photos

You can upload photos to document the hydrant's condition during the inspection. Click the photo upload area and select one or more images from your device. Each photo can be up to 10 MB. You can drag photos to reorder them after uploading.

Photos are especially useful for inspections that result in a failure. They give the repair crew a clear picture of what needs to be fixed before they drive out to the hydrant.

Example

You inspect hydrant H-450 and find that the operating nut is frozen and one cap is missing. You would:

  1. Set the result to Fail.
  2. Turn on Follow-up required.
  3. Add two deficiencies: "Operating nut frozen, cannot turn" and "East-side cap missing."
  4. Upload a photo of the frozen nut and a photo showing the missing cap.
  5. In the notes, write: "Hydrant is not usable. Recommend repair before next scheduled use."

Tip

Schedule inspections in advance by setting a scheduled date and leaving the result as Pending. When you complete the inspection, edit the record to fill in the completed date, result, and any deficiencies. This creates a clear paper trail of when inspections were due and when they were done.
