Keeping a record of every maintenance activity helps you track costs, plan future work, and show compliance with your maintenance schedule. You add maintenance records from the hydrant's detail page.
Step by step
- Open the hydrant's detail page.
- Click the Maintenance tab.
- Click Add Record above the table.
- Fill in the form as described below.
- Click Submit.
Form fields
- Date -- The date the work was performed. Defaults to today.
- Type -- Choose one of the following: Painting, Flushing, Repair, Winterization, Lubrication, Cap Replacement, Valve Repair, or Other.
- Technician -- The person who did the work. Defaults to you.
- Cost -- The dollar amount spent on this maintenance activity. Leave blank if you do not track costs.
- Description -- Describe what was done. Be specific enough that someone reading it later understands the work without having to ask you.
- Parts Replaced -- List any parts that were swapped out, such as "nozzle cap, breakaway flange bolts (x4)."
- Notes -- Anything else worth recording, like "hydrant body has a crack near the ground line, monitor next visit."
Example
You flushed hydrant H-150 on April 10 and noticed the operating nut was stiff. You lubricated it on the spot. You would add two maintenance records:
- Type: Flushing. Description: "Flushed for 5 minutes, water ran clear." Cost: $0.
- Type: Lubrication. Description: "Applied lubricant to operating nut. Turns freely now." Parts replaced: none. Cost: $0.
Or if both happened at the same visit, you could log a single Flushing record and mention the lubrication in the notes.
Tip
When recording a repair, always note the parts replaced. That information helps you order spare parts ahead of time and shows the auditor exactly what was done.
