Contacts on a property are the names and phone numbers your crews actually need when something is wrong with the building. Owners, property managers, after-hours emergency numbers, billing contacts, and anyone else worth keeping on file.

Where contacts live

You can attach contacts to a property, a building, or an occupancy. Pick the level that makes sense:

  • Property -- The owner of the whole parcel, the master property manager.
  • Building -- The building manager, the building engineer.
  • Occupancy -- The tenant manager, the suite-specific emergency number.

Adding a contact

  1. Open the property.
  2. Click the Contacts tab.
  3. Pick the scope -- Property, Building, or Occupancy.
  4. Click Add Contact.
  5. Fill in the name, title, phone, alternate phone, email, and address.
  6. Set the role flags as needed.
  7. Click Save.

Role flags

Each contact can have one or more role flags:

  • Primary -- The main contact for this level. Useful when you have several contacts and need to know who to call first.
  • Emergency -- This person can be reached after hours and is willing to respond.
  • Billing -- This person handles invoices, especially relevant for fire prevention fees and inspection follow-ups.
  • After Hours -- This phone number is the right one to use outside business hours.

Tips

  • You can upload a photo of the contact -- helpful when the same building manager works at several properties and dispatch wants a face to put with the voice.
  • The same person can be a contact on more than one property. Each contact record is per-property, so update each one when something changes.
