The Service Schedule is the bottom section of the Service Tracker. It is a full calendar view of every service appointment, with a sidebar for vehicles that need service but have no appointment yet.

The status colors

Every appointment is one of four statuses, each with its own color badge:

  • Scheduled — blue. The appointment is on the calendar but has not started.
  • In Service — amber. The vehicle is at the shop being worked on.
  • Completed — green. The work is done.
  • Cancelled — red. The appointment was canceled.

Unscheduled Vehicles

On the left side of the page, the Unscheduled Vehicles list shows vehicles that need attention but have no appointment on the calendar:

  • Vehicles whose Inspection Expires is close.
  • Vehicles whose Next Service Due is in the past or coming up.
  • Vehicles with open service requests that have not been scheduled.

Each card is draggable. Drag a card onto the calendar to create a new appointment at that time. The appointment is created right away with the vehicle attached and the location defaulted to Fleet Maintenance. Click the appointment on the calendar afterwards to edit the service location, vendor, notes, and timing.

Drag, drop, and resize

On the calendar itself:

  • Drag an appointment to a different day to reschedule it.
  • Drag the edge of an appointment to resize it (change Expected Completion).
  • Click an appointment to open its details.

Editing an appointment

Clicking an appointment opens the Edit Service Appointment modal with every detail editable — Status, Service Vendor, Service Location, Scheduled Start, Expected Complete, Actual Start, Actual Completed, Internal Notes, Current Mileage, Service Interval (miles), Last Service, and Next Service Due. Invoices can be uploaded and their amounts edited here too.

Buttons at the bottom of the modal:

  • Save — saves changes to the appointment.
  • Start — moves the appointment to In Service and stamps the Actual Start time.
  • Complete — moves it to Completed and stamps the Actual Completed time.
  • Cancel — moves it to Cancelled. You will be asked to confirm.
  • Delete — removes the appointment entirely. You will be asked to confirm.

Invoices

Scroll down inside the appointment modal to add an invoice. Each invoice has a file upload and an amount. Click Save Amounts to save invoice amount edits.
