QR tracking ties a printed label to each individual unit of a product, so instead of a running count you know exactly which unit is where, who placed it, and who pulled it. It works well for higher-value items like defibrillator pads, airway kits, and radios. You choose which products it covers, one product at a time.
Before you start: Only an agency admin can turn this on. Print your labels before enabling it on a product, or stocking that product will ask for a label you do not have yet.
Turn it on
- From the menu, click Settings. In the QR / barcode tracking card, set QR tracking to Enabled. Your choice saves right away.
- From the menu, click Inventory, then Products. Edit a product and turn on Track each unit with a QR code. Only products with this switch on need labels; everything else keeps working by count.
Print your labels
Under Inventory, click Barcode Labels. Enter how many labels you need and click Generate PDF. The sheet downloads as a PDF you print on Uline S-16986 stock (half inch by three quarter inch laser labels). Stick one label on each unit.
Receiving a big shipment of one product? Use Bind to product when generating so every label on the sheet is pre-assigned to that product. Then, when stocking, pick Pre-assigned label roll in the Add items window and the labels are assigned in order automatically, no scanning each unit.
Stocking and removing tracked items
- Adding stock: in the Add items window on a location, the Scan / paste barcode field accepts a label. Click Scan to use your camera or Use phone to scan with your phone. Tracked products lock the quantity to 1 so each unit gets its own label.
- Labeling stock already on the shelf: when units at a location still need labels, an Assign QR button appears on that row. Scan one label per unit and click Assign.
- Replacing during a checkout: scan the label on the unit you pull (Barcode on removed item) and the label on its replacement (Barcode for new item). The old label is retired and the new one is tied to the new unit.
Counting by scanning
During a shift checkout, locations with tracked items show a Scan to count button. Scan the label on every unit — the camera stays on between scans, and duplicates are ignored — and the tally fills in against each item's expected count with OK, Short, or Over badges. Labels that belong to another location or are no longer active are flagged under Needs a look. Click Apply counts to record the result, then review and verify the location as usual. Example
Your agency wants every set of defibrillator pads tracked by unit. An admin enables QR tracking in Settings, turns on Track each unit with a QR code on the Defib Pads product, prints a sheet of labels, and the crew applies one to each package as they stock it. From then on, checkout counts for pads are a quick scan pass, and if a package turns up on the wrong truck, scanning it says exactly where it belongs.
