Who can see this report

Reporting is only available to users with the Admin role in the company. If you do not see the Reporting link in the menu, ask your administrator.

What the movement audit shows

The Movement Audit tab on the Reporting page is a detailed transaction ledger. Every time inventory quantity changes, the system records one row here. Each row shows what happened, how many units were involved, who did it, and when.

Reading the ledger

Columns:

  • When — date and time of the transaction
  • Type — shown as a badge. Common types include Receive, Transfer In, Transfer Out, Return, Adjust, Dispense, and Consume.
  • Product
  • Qty Δ — the signed change (green when positive, red when negative)
  • User — who performed the action (or System for automated changes)
  • Location
  • Notes — available from the column toggle

Rows are sorted newest first. Use the column headers to sort by a different field, and the search box to find a product by name.

Worked example

A captain notices that Medic 7 is short on several items and wants to know what happened. You open the movement audit, sort by Location, and scroll to the Medic 7 rows. The ledger shows:

  • March 1 — Transfer In, +20 items from the supply room
  • March 3 — a Consume row of 0 as the shift checkout verified the count
  • March 10 — Adjust, -5 with the note "Used on MCI, no time to record individually"

The Adjust row on March 10 explains the shortage. The crew used supplies during a mass casualty incident and recorded the reduction afterward.

Tips

  • The audit trail is permanent. Transactions are not edited or deleted in place — a mistake gets corrected with a new transaction. This protects the integrity of your records.
  • Use Print / Save in the top right to export the ledger if you need it for leadership or a grant report.
