Who can see this report
Reporting is only available to users with the Admin role in the company. If you do not see the Reporting link in the menu, ask your administrator.
What this report shows
The Expiry Exposure tab on the Reporting page lists every inventory lot that expires within the next 120 days, sorted by soonest first. It is a single list with no date picker — anything past 120 days is hidden so you can focus on what needs attention.
Why it matters
Expired supplies cannot be used on patients. They also represent wasted money. By catching expirations early, you can rotate stock (use the oldest items first), donate items to training programs, or return them to the supplier if your agreement allows it.
Reading the report
Each row shows:
- Item — the product name
- Lot #
- Expires — the expiration date
- On Hand — quantity remaining across all locations
- Days Remaining — color-coded red when 30 days or fewer are left, yellow when 60 days or fewer are left, otherwise plain
Worked example
You open the report and see:
- Saline Bags, 1000mL — lot
SAL-2024-C— expires April 30 — 24 on hand — Days Remaining in red - Cold Packs — lot
CP-2024-A— expires May 15 — 40 on hand — Days Remaining in yellow
The red row is the most urgent. You move the saline bags to the front of the shelf so they get used first and order replacements. The cold packs have more time, but you make a note to check on them in early May.
Tips
- Run this report weekly or at least twice a month. Monthly might be too infrequent for items with short shelf lives.
- Set up a rotation system: when new stock arrives, put it behind the older stock so the oldest items get used first (first in, first out).
- Keep a small buffer — do not wait until the last week before expiration to act. Some items may need to be discarded a few days before the printed date depending on your agency's policies.
